Service Supervisor

Position Overview
We are seeking an experienced Service Supervisor to lead maintenance operations for a diverse private fleet. This role combines hands on service coordination with full responsibility for fleet maintenance strategy, personnel, compliance, and cost control.
The Service Supervisor will oversee all maintenance activity for tractors, trailers, forklifts, cranes, and miscellaneous equipment. This is a single role position that includes both leadership and service writing responsibilities. The successful candidate will have the authority to make operational decisions and will be accountable for fleet readiness and safety.
Key Responsibilities
Maintenance Operations
• Manage all maintenance and repair activity for company equipment
• Develop and maintain preventive maintenance schedules
• Prioritize repairs based on safety, compliance, and operational needs
• Make final decisions on repairs and equipment availability
• Ensure fleet readiness to support daily operations
Service Writing and Coordination
• Receive and document repair requests from drivers and equipment operators
• Create, manage, and close work orders
• Communicate repair status and timelines to operations and leadership
• Order parts and coordinate outside vendor services
• Track equipment downtime and repair progress
Personnel Management
• Hire, train, supervise, and terminate mechanics as required
• Assign work and establish daily shop priorities
• Enforce quality, productivity, and safety standards
• Maintain a professional and safety focused shop environment
Compliance and Safety
• Ensure compliance with DOT, OSHA, and applicable state regulations
• Maintain accurate inspection and maintenance records
• Prepare equipment for audits and inspections
• Work with safety leadership to address equipment related risks
Cost and Vendor Management
• Manage maintenance costs within approved budgets
• Source parts and services efficiently
• Maintain vendor relationships and negotiate services when needed
• Identify opportunities to reduce downtime and long term maintenance costs
Reporting and Administration
• Maintain maintenance documentation and records
• Track key metrics including downtime, repair trends, and costs
• Provide regular updates to operations and company leadership
Qualifications
Required
• Proven experience managing fleet or heavy equipment maintenance
• Strong knowledge of tractors, trailers, forklifts, cranes, and industrial equipment
• Understanding of DOT and safety compliance requirements
• Experience supervising and managing mechanics
• Strong organizational, communication, and decision making skills
Preferred
• Experience in a private fleet environment
• Mechanical background with leadership responsibility
• Familiarity with maintenance management systems
Authority and Accountability
• Authority to hire and terminate mechanics in coordination with HR
• Authority to remove equipment from service for safety or compliance reasons
• Full accountability for fleet availability, maintenance performance, and compliance
Work Environment
• Combination of office and shop floor responsibilities
• Regular interaction with mechanics, drivers, operations, and vendors
• Fast paced environment requiring strong prioritization and decisive leadership
